- Prospective tenants are accompanied by a viewing representative where needed. Following interview successful tenants are vetted by a professional referencing agency or through our own investigations with the additional security of a guarantor requested if felt necessary.
- Professionally approved Assured Shorthold Tenancy Agreements are drawn up, or alternative contracts if appropriate, these being necessary for the Landlord to comply with and gain protection of the relevant Rent and Housing Acts, together with full inventory, meter readings and photographic schedule of condition.
- Tenants are required to pay an additional returnable deposit against possible non-payment of rent or damage to property. Phipps & Pritchard are members of The Dispute Service and registered to hold tenants’ deposits as under The Housing Act 2004 such deposits are under the Tenancy Deposit Protection scheme and cannot be simply retained by the landlord unless agreement with the tenant is reached. When a tenant leaves a full property inspection and inventory check is carried out. Any dilapidation claims out of the deposit are dealt with but it must be remembered that these are subject to fair wear and tear.

- All rent monies are held in a protected discrete account, with each client’s funds readily identifiable under Royal Institute of Chartered Surveyors regulations and subject to their periodic inspection. For individual monthly tenancies detailed rent statements are issued and posted each month with net proceeds sent direct to clients’ bank accounts as cleared funds around the middle of each month.
- Periodic inspections are carried out as deemed necessary, usually a three months initial inspection and thereafter every six months.
- Co-ordination of repair and maintenance, with the overseeing of work following obtaining estimates where required, and the settlement of invoices from rental income is arranged. At an additional charge more extensive repairs and refurbishment can be organised and supervised.

- Collection of the initial rent and deposit on the tenants moving in with original copy of the Assured Shorthold Tenancy Agreement together with inventory and photograph schedule supplied to Landlord. All responsibility is then handed to the Landlord including arrangements at the end of the tenancy.
Guidance Notes for Landlords
- The lenders written permission must be obtained by any landlord whose property is subject to a mortgage.
- Landlords should have sufficient buildings and contents insurance including public liability cover, informing their insurers that the property is held as an investment. We recommend to tenants that they insure their own contents but cannot enforce this. We can assist Landlords with such insurances, having a dedicated policy with The Norwich Union for properties under our direct management. - The law stipulates that all gas appliances in all let residential properties must be checked and serviced annually and a Landlords Gas Safety Record obtained. In addition before any new letting or reletting takes place the Landlord must have an Energy Performance Certificate (EPC) available for inspection. At a competitive cost we can arrange both of these to be carried out by suitably approved contractors.
- Landlords are under a duty of care to make sure that electrical installations are safe and this is often best achieved by having an Electrical Periodic Inspection from a professionally recognised contractor. Any loose electrical appliances included in a letting must have a Portable Appliance Test (PAT). Both of these can be arranged. Soft furnishings, but not carpets and curtains, must evidently meet current fire retardant standards.
